To provide proactive, efficient and effective PA/secretarial support to Directors, and ad hoc secretarial and administrative support for the rest of the team members. Main Responsibilities Maintaining and filing all information and communication with regards to all projects carried out by the team.Being the first point of contact; taking responsibility for knowing each member of the team’s area of responsibility, managing each member’s diary and being able to provide responses/guidance in their absence.Processing expenses for Directors.Logging new instructions & clients on to our CRM system, opening files for new jobs, creating draft templates for surveyors, creating conflict checks for review.Amending, formatting, proof reading, and collating a PDF draft and final report to ensure they are in line with our corporate standard with particular attention to consistency.Issuing fee accounts for each job; raising and sending invoices to clients, chasing unpaid invoices and resolving any queries in relation to unpaid debt.Managing monthly fee forecasts for the team, for utilisation in Department Head’s monthly forecastsInputting information into database.Dealing directly with clients, responding to enquiries and building a working relationship with them.Using all IT Applications including the Microsoft 365 Suite, Customer Relationship Management Systems (Salesforce), Valuation Express, Pro-maps, Goad and Argus Enterprise.Arranging meetings and conference calls, both paper and electronic.Ensuring that all travel, meeting rooms and catering are booked for meetings and events.Carrying out any other reasonable management requests.Arranging inspections on behalf of the team and the regional offices as part of a portfolio.Coordinating portfolio valuation inspections, time frames and information with the regional offices, ensuring all information is collected as required.Assisting in research for reports where requiredUnderstanding lender guidelines and ensuring the correct report and appendices are completed for the right lender.Updating bank contracts and providing company information as requested.Cover administrative duties for other teams within department when they are absent.Qualifications

GCSE’s in English Language & MathsExperience in working the property sector, (preferably commercial although not essential)Ideally experienced in the use of Salesforce (although not essential) Key SkillsAbility to work without supervision in a confident manner to support the Team Directors and manage queries in their absence.Excellent written and oral communication skills.Excellent time management and organisational skills.Accurate and exceptional attention to detailExcellent customer services skillsAbility to work under pressure and to prioritise efficiently to ensure tight deadlines are met.Must be proactive, able to use own initiative and possess a flexible attitude to the workload.Must be able to pick up new systems at a fast pace.Must be a team player who is able to follow instructions.Intermediate to Experienced knowledge of Microsoft Office products and strong ability to pick up and learn new systems quickly.Accurate typist with a minimum of 60 wpm for both audio and copy typing.Good interpersonal skillsConfident and assertive where requiredMaintains a positive attitude towards routine tasks.An interest in the property sector and an enthusiasm to learn.Understands and appreciates the importance of using discretion with confidential property matters
