Reporting to the Development Director, the person is responsible for very best value procurement of packages in line with Propman, Xero and other company processes and consequently developing sustainable, trusting and dependable trade contractor and consultant's business relationships.
Critical success aspects of the role will include the following and this list may not be exhaustive: -
+ Implement procurement control systems effectively through Propman and Xero and in alliance with business processes.
+ Ensure that health and safety issues are considered procurement and that provision is made to ensure good levels of health and safety, in the execution of the works.
+ Ensure that Purchase Orders (PO) placed, are approved and signed off in advance and are presented in the most protective format to protect the interests of the business.
+ Ensure that PO's are dispatched in advance of the works and accurately reflect the works to be engaged, reflect the requirements of any contract and guarantees and include terms and conditions.
+ Provide cost plan support and commercial information through the pre-construction stage of developments and in relation to best cost information achieved on historical projects.
+ Minimize financial risk and maximize financial opportunity for the business.
+ Attend pre-award trade contractor meetings, the records of which may form part of the final PO documentation.
+ Ensure that agreed PO documentation is complete and representative of the scope of works and trade contract package and is compliant with processes and Propman proforma.
+ Monitor, evaluate and code relative to Propman and Xero, PO's and invoices. This is an important stage of the payment process.
+ Be motivated to chase all matters through on one's own initiative without being prompted to do so.
+ From time to time review invoices relative to allocation of products and services to buildings and assist in the account function of reconciliation in conjunction with Propman and Xero.
+ Set a personal and professional example.
+ Provide reports as may be required and arrange and attend commercial meetings.
+ Ensure that warranties are in place and back to back with the main contract and that all trade contractors and consultants with a design remit have appropriate warranties and insurances in place and as part of final PO documentation. Ensure that consultants insurances are back to back where relevant with insurances.
+ Ensure that RAMS and current insurances are obtained as part of the PO process and that activities in Birmingham are executed within the site rules of the site and that there is a paperwork audit trail for this.
+ Expect that the procurement process is not fixed between two tram lines to only go to purchase 20 widgets. It is the engagement, the demonstration of best value and the follow through with satisfactory final paperwork outside of those tramlines - the whole process plus 20 widgets.
