Job DescriptionJob title: ConciergeReports to: Community  ManagerDirect reports: n/aLocation: Liverpool site basedHours: The hours are 7am to 7pm on 4 day shifts 4 days on, 4 days off. Purpose of the role:      To act as the first point of contact for urbanbubble in a large residential property extending warmth, hospitality and a smile to our customers and any guests.  To create an incredibly positive and professional first impression of our business.  To support the Community Manager, Assistant Property Manager and onsite team offering first class service to all residences.Responsibilities:      To meet and greet visitors, extend the warmest Bubble welcome.  To answer the telephone, action calls and take messages and pick up any overflow calls.To oversee the site email account and ensure all messages are distributed correctly and fully resolved.To manage key office supplies, such as stationery and H&S forms.To manage the post/deliveries ensure daily distribution and collection.To take collections from couriers.To centrally manage and maintain records and archive of documents.To be responsible to hold and log all keys coming in and out.To promote security onsite through correct signing in and access control for third party visitors, ensuring proper badges/identification is worn at all times and by maintaining a log book.To program and distribute access fobs.To provide office management support, such as interaction with the building manager and progress any internal maintenance issues.Critical skills required:      To complete all administration in an efficient manner, including but not limited to H&S site checks, completing the petty cash log and the expenses logs.To ensure Health and Safety requirements are met onsite, within remit of role, responding to any hazards, escalating issues and assisting with all fire alarm testing.To act as the first point of contact for customers, responding to or escalating their issue, ensuring any maintenance issues are logged.To complete any ad hoc project work and administrative tasks as required.To carry out site patrols across the property and any other properties where required and log site patrols in the book.Log any issues or problems identified in the communal areas, or by tenants in the hangover book. Also log information required by other concierge members to effectively carry out tasks. First class communication skills, verbal and written.  Excellent listening skills.To have knowledge and understanding of building services.Understanding of call out procedure for maintenance services. Top notch organisational skills with good attention to detail.Strong customer service skills and a genuine passion for delivering exceptional customer service.Office administration skills.Critical knowledge required:      Knowledge of key technology, such as telephone systems, access controls, printer/scanner, internal systems and Microsoft Office.Knowledge of the business.Personal ProfileQualifications requiredGood basic level of education.      Experience required:      Previous concierge experience preferable.Face to face customer service.Microsoft Office Suite.Previous experience working in accommodation (desirable).      Attitude/approach      Positive and can do.Passionate and dependable.Friendly and courteous.urbanbubble requires people who are professional, hard working, innovative, passionate; who are effective in their roles and who truly engage with the customer.
