Job Description

RESPONSIBILITIES INCLUDE:

Event budgets

Work with the Head of Events to put together the annual budgets, considering historic spend and future revenue forecasts.
-Develop an overall event budget delivering a high GP
-Work with stakeholders to deliver a commercially well-balanced event. Able to successfully manage revenue and cost forecast against actual numbers and offer solutions when needed.
Venue selection

Good experience on venue research and contract negotiation
-Work with a dedicated venue manager but also be able to work independently when needed
Event coordination

Event timelines and scheduling
-Supplier and venue management
-Managing stakeholder expectations in complicated corporate environment
-Strong time management across different events running simultaneously
-Ensure all event information is updated and communicated to all stakeholders
-Strong communication with delegates and sponsors and manage their deliverables – including lanyards, bespoke events onsite, branded items. Dealing with customs issues as necessary.
-Collate, manage and proof onsite event guide, agendas, signage, badge printing
-Full administration support of the event
-Team travel and accommodation management
Onsite

Available to travel and deliver events onsite in the UK, EU, and rest of world when needed.
-Manage the event team onsite
-Manage all deliverables for sponsors
-AV and Venue management onsite
-Control of expenditure according to forecasts
Post-event wrap up

Collate final attendee list
-Evaluation form analysis
-Final thank you email to sponsors
-Assistance with budget reconciliation, including chasing remaining supplier and invoices
Qualifications

SKILLS AND EXPERIENCE

2 years working on B2B, commercial events
-Experience working on budgets; creating, maintaining and responding to the events P&L requirements to keep the event on track financially (training and support can be provided)
-Knowledge of venue sourcing; from venue research, quotes, contract negotiation through to the onsite event delivery
-Previous experience working with senior, chief executive level corporate clients; the candidate should be articulate, confident and have a professional demeanour
-Process driven, resilient and resourceful to deliver successful events depending on specific requirements including event design, catering, AV and event technology, signage onsite, liaison with guests etc.
-Highly organised with excellent project management skills including in managing multiple projects at once, prioritising workload and coping well under pressure
-Ability to thrive in a deadline driven, demanding work environment
-Ability to collaborate with and influence stakeholders within the business to deliver effectively and negotiate through challenging situations
-Meticulous attention to detail
-Ability to work on initiative and always have a can-do solution oriented attitude
-Take ownership quickly and lead the events
