Senior Secretary to the Audit Team

Location: Leeds City Centre

Salary: Circa £25,000 DOE

We have a fantastic opportunity for a Senior Secretary to take the lead when supporting the Audit team for our client an Accountancy firm based in Leeds City Centre.

You will provide effective and efficient organisational, Secretarial and Administrative support for the Audit team.

Key Duties & Responsibilities:

Personal Assistant:

  • Assist Partners, Audit Group Manager and Managers with their day to day tasks i.e. arranging internal and external meetings, booking meeting rooms and providing refreshments
  • Proactively managing Partner diaries
  • Screen telephone calls, relaying accurate and clear messages on a timely basis to the Team as and when required
  • Be responsible for the preparation and dispatch of client billing and coordinate with Credit Control
  • Assist with internal seminars as required including meeting and greeting clients and guests and providing refreshments
  • Type all letters, memoranda and reports by audio or copy typing in accordance with the Firms standard procedures and to draft correspondence
  • Maintain CRM database up to date with target and client details
  • Prepare presentations and proposals in line with the Firms template
  • Access Intranet documents and amend as necessary
  • Booking travel & hotels both UK and International and preparing travel itineraries
  • Assist with client acceptance and take on procedures

Team Support:

  • Update CRM database system for managers
  • Assist in client take on procedures and internal administration, including preparation of client engagement letters
  • Type financial reports and accounts
  • Organise internal team meetings and socials
  • Assisting with internal and external training for the department
  • Updating retain (internal staff plan)

Key Skills:

  • Experience of supporting Management in a professional practice and dealing with clients in a helpful and friendly manner
  • Strong organisational skills
  • Highly motivated and willing to work on adhoc department and client issues
  • Excellent Microsoft Office skills (min 60 wpm) and numerate
  • Exceptional attention to detail
  • Strong teamwork and communication skills are essential
  • Flexibility is required and ability to work under pressure
  • Able to multi task and prioritise
  • A good knowledge of Word, Excel and PowerPoint skills with the ability to creatively design presentations and proposals
  • Proactive nature with ability to work on own initiative
  • Must be able to plan and manage own work and anticipate Partner and Managers needs
  • A background working in accountancy would be desirable
