Job Title: Database and Finance Officer

Reports To: Appeals Manager

Job Location: Hammersmith

Hours of work: 37.5 hours per week

Holidays: 25 days per annum (rising to 30 days after 5 years’ service) plus paid bank holidays

The Foundation Office:
The Foundation Office works with two School Campuses . The team comprises a small team of staff and two Alumni Relations consultants, supported by several key volunteers, all engaged in activities that enhance the School’s relationship with the broader School community (both the Upper School and the Prep) and which may eventually lead to fundraising opportunities for the Foundation.


Maintain the Raiser’s Edge database, verifying and updating contact details already on the system and producing reports as required
Work with the Alumni Relations Manager to ensure accurate and complete alumni database records; capture contact, biographical and career information of alumni via surveys, special projects, correspondence, website, postal returns, etc and research alumni academic achievements & career movements
Assist with research on potential supporters of the Foundation
Pull data for the distribution by mail of the bi-annual newsletter and run the newsletter distribution by email
Run or assist colleagues with the data segmentation for mailings and update the database afterwards
Help with queries of the database for any team member as needed
Process gifts and promptly generate appropriate letters of acknowledgment for donors, working closely with relevant members of the team
Keep all finance records for the Foundation Office up to date
Monitor Foundation Office bank accounts on a daily basis
Weekly banking of cash and cheques
Manage all Direct Debit payments
Monitor and process online credit card gift and events payments, and enter such payments into the database in a timely manner
Submit periodic Gift Aid claims and ensure that all Gift Aid declarations are up to date and recorded in the database
Liaise with Finance Office on the monthly bank reconciliation and run appropriate end of month reports
Generate end of month and year-end financial and donor reports using Raiser’s Edge
File invoices and expense claims for the team and monitor the budget, checking the monthly budget reports produced by the Finance Department
Enter financial data into Raiser’s Edge and help with an ongoing programme of data cleaning and updating
Manage the annual upload of data for School leavers and for new staff, new families and those progressing through School
Be responsible for adding details of new members of the Foundation Office team to the School website and all relevant communications, and give them correct permissions for web and database access
Run and create financial reports as required by other members of the Foundation Office
Work closely with Finance Department in preparation for the annual Audit
Assist with the creation of the Annual Report of Giving using data from Raiser’s Edge
Run database reports and queries as required by fellow team members
Train other members of the team as required on using Raiser’s Edge
Undertake other tasks as reasonably requested by the Director of Development

Person Specification:
This is a fantastic opportunity for an able and enthusiastic person to make their mark in a lively and successful department.

Knowledge / Skills/ Experience:

Educated to degree level or equivalent
Excellent computer and database management skills
In depth knowledge of Raiser’s Edge and BBNC, and also Word and Excel.
High level of numeracy.
Strong social skills, excellent telephone manner.
High degree of flexibility.
Experience in working in a small team and a willingness to assist in meeting deadlines.
Capable of working effectively under pressure and with changing priorities.
Highly organised, capable of working on own without day-to-day instruction.
Good attention to detail and deadlines.
Positive approach with a sense of humour.
