About the job
Our client, a successful group of companies associated with sports event branding and the production of bespoke sporting products / equipment throughout the UK and Europe, is seeking an HR & Policy Coordinator to join their business on a part time basis.
Reporting to the Managing Director, this exciting opportunity will provide support to the business and senior management team in the following areas:
·Arrange and coordinate recruitment interviews.
·Create and send offer letters together with new starter welcome packs.
·Manage legislative requirements regarding employment (obtaining sight of original right to work documentation etc.) and collate information for payroll.
·Obtain references/referencing information for newly appointed team members.
·Administer, file and manage staff records and documentation.
·Organise and set-up new staff email details, computers, furniture and welcome packs etc.
·Responsible for sourcing, actioning and renewal of outsourced training of safety and staff skills development, including booking and coordinating for staff members and recording appropriately.
·Record and encourage staff health/welfare within the workplace and monitor attendance.
·Filter, convey and administer day to day communication between staff and directors.
·Arrange, conduct and record return to work meetings.
·Create and record staff correspondence, employment contracts and agreements.
·Administer workplace pension documentation.
·Minute and transcribe staff reviews at 1 and 3 months and annual appraisals.
·Minute and transcribe confidential meetings and action points.
·Book and administer staff rewards, entertainments and gifts, together with sourcing and coordinating new concepts.
·Source and coordinate corporate gifts and cards, booking and administering accordingly.
HEALTH AND SAFETY
·Book, minute and transcribe meetings, together with putting into motion any action points and monitoring.
·Record, action and monitor accident reports and identify improvement areas.
Book, administer, source, action and renew:
·Corporate collaboration and cohesion.
·Compile statistics and report emissions, energy, waste recycling measurements and reduction, whilst recommending further actions to improve.
·Increase employees, clients and supplier policy awareness by recommending initiatives and actioning.
·Recommend and actions any sale, donation, reuse, recycle or disposal of un-used items.
·Monitor and action office and workshop cleaning, recommending further initiatives whilst being the main point of contact.
CONTRACTUAL / STATUTORY
·Diarise, renew, renegotiate (where appropriate) and report to the Senior Management team any...
- forthcoming Companies House submissions, assisting to administer as directed.
- forthcoming cars/vans, office, travel and business insurances, assisting to administer as directed.
- commercial agreements for telephone, data, media and contractual obligations relating to similar services (IT support, software and hardware), actioning as directed.
·Monitor and administer requirements for office supplies and manage / negotiate contracts as required.
·Monitor and record key information for premises and vehicles.
This is an exciting and pivotal role within the company, overseeing and administering for both soft and hard services, Human Resources administration, company policies/procedures and performance monitoring required to assist the business to grow further.
Our client is offering working hours of 25 hours a week and can accommodate a 9.30am to 3.30pm working day (Monday to Friday). Equally, hours to suit the individual over a 5-day working week will be considered.
Candidates will need their own vehicle given our clients rural location.
