Personal Assistant to the Head Teacher and Senior Leadership Team / Office Manager
We have an excellent opportunity for an experienced Personal Assistant to join a School in the Aylesford area. You will provide administrative and organisational support to the Head and Senior Leadership Team to assist in the smooth operation of the school.
Key duties and responsibilities
To manage phone calls for the Head/SLT screening calls, resolving issues with sensitivity and confidence, using initiative as required and referring as necessary To open and review any correspondence to the Head and draft responses as directed. Distribute all incoming post accordingly
To manage the Heads diary arranging appointments as appropriate. To coordinate the weekly diary meeting with the SLT To provide clerical and administrative support to the Head/SLT including drafting papers / reports / presentations, research and collating information, filing, photocopying
To organise and support meetings, preparing agendas and minutes as required. To ensure that matters arising from minutes are dealt with by the appropriate people within agreed timescales Update and manage the school website to ensure compliance, liaising with the appropriate staff
To support the Head/SLT in the planning and coordination of special events parents evening / school fair etc Assist the Head/SLT in the drafting and preparation of home school correspondence and school publications e.g. prospectus / posters and leaflets / letters to parents
To set up, review and monitor systems of work to support the Head/SLT in the efficient coordination of workload and prioritisation of tasks To handle all sensitive and confidential matters with discretion
Comply with policies and procedures relating to child protection, health and safety and security, confidentiality and data protection, reporting all concerns to an appropriate person To provide administrative support to the HR Manager as and when required
*To oversee the smooth running of the reception office and line manage and appraise the reception staff, to ensure a professional and efficient service is provided. Where necessary, provide cover to the reception office
This is a Monday to Friday role. Your working hours will be: 8.00am 4.00pm (3.30 finishes on one day). Flexibility required to adjust hours for earlier/later finish.
