Purpose of the Technical Administrator:

The Technical Administrator will primarily support the Project Engineering team to prepare and deliver quotes and ensure the right information is in the right place at the right time. The role will also provide support to the wider Projects team assisting with general administrative duties.

Responsibilities of the Technical Administrator:

* Maintaining and updating the Jira database with customer queries and tasks and team activities.
* Creating quotes from the Bill of Materials (BOM) and sending them to customers; e.g. for voltage control panels and services
* Preparation of quotes for Consultancy services
* Maintaining and updating the ACT! and Sage databases with customer enquiries, quotes and orders
* Acknowledgement of orders to customers
* Calculation and monitoring of lead times for voltage control panels design and manufacturing, and consultancy projects
* Managing the Project Engineering calendars to ensure delivery estimates can be met
* Acting as first point of contact to customers for technical support, collating detail of phone and email enquiries, assigning tasks to engineers and prompting completion
* Liaising with customers to obtain or clarify project related information; e.g. technical information relating to voltage control panels
* Following up with customers to ensure engineering drawings have been received and ensure approvals are communicated
* Acting as a conduit of information to liaise between teams to ensure project communication is maintained
* Liaise with colleagues in Sales to support engineering design, voltage control installations and voltage control panel building schedules
* Maintenance of project records; including but not limited to, creation of project folders, preparing and sending transmittal notices, printing and binding reports, raising purchase orders, filing documents in the appropriate project folders

Requirements of the Technical Administrator:

* A minimum of 3 GCSE's (to include mathematics and English) grade 9 to 4 (or A* to C), or demonstrable experience of working at an equivalent level
* A higher level qualification preferably in an engineering or science related discipline or equivalent relevant experience would be advantageous
* Previous experience of an administrative role requiring excellent organisational skills
* Technical acumen with the ability to understand a bill of materials and schematics
* Previous experience preparing and reviewing quotations
* Flexible and able to reprioritise to meet changing deadlines at short notice
* Excellent communication skills both in person and through written medium
* Experience providing a great customer service internally and externally
* Confidence to deal courteously and efficiently with a wide variety of people with the ability to build and maintain great professional working relationships
* Able to work as part of a small team or on own initiative
* High level of computer literacy to include experience of MS Office and databases (with experience in ACT!, Sage and/or Jira preferred)
* Experience or demonstrable interest in a technical discipline
* Self-motivated with experience in an office environment
