Admin Officer -

The purpose of the role is to provide effective and efficient support to the Practice Management Unit in the delivery of its core business objectives. You will need to be organised, proactive, and able to take initiative, work closely with others and have strong oral and written communications skills. You will also need to have an intermediate knowledge of Microsoft Excel as well as other Microsoft Office packages. The work is fast-paced and varied, often requiring you to multi-task and priorities your own workload.

The work includes but is not limited to:

" Updating our core spreadsheets for the team ensuring data is inputted accurately and highlight and resolve any discrepancies by liaising with relevant stakeholders.

" Liaising with Team secretaries for the return of the Weekly Staff-in-Post (SIP) reports from the team, ensuring they are received by the agreed deadline, following up on discrepancies and ensuring the changes are logged on our sheets accurately. Ensure the SIP reports are electronically filed as per the agreed system. Raise any queries or concerns where appropriate.

" Assist in the preparation of Month-end tasks as required, supporting colleagues within the team to ensure the deadlines are met.

" On receipt of the monthly HR Sip report, assist in cross checking the data against our internal staffing sheets, highlighting any discrepancies, escalating issues and concerns as necessary.

" Raising an approved requirement for new temporary workers through the relevant systems; ensuring the requirement is raised and approved within a timely manner and logged on all relevant sheets with confirmation emails sent to relevant internal and external stakeholders.

" Assisting in ensuring, timesheets, work orders, requirements and contract extensions are actioned appropriately and relevant information is captured on internal sheets.

" Assist on the extension of temporary workers contracts updating all relevant internal sheets.

" Assist our business areas in requesting an approved Fieldglass account for internal staff in the relevant business areas, helping them with issues they may encounter on the system. Setting up ad-hoc approvers for the approval of Timesheets, work orders and requirements.

" Regularly monitoring the Typing Service Inbox, taking forward any requests in a timely manner and recording them in the relevant sheets.

" Dealing with queries from the public through the Litigation Enquiry Line.

" Organize the mini team monthly meeting, book rooms, and prepare an agreed agenda.

" Handling any ad-hoc queries as well as monitoring and responding to enquiries received in the team inbox; liaising with colleagues across your team, promptly responding to queries and ensuring a high quality service is provided.

Monday -Friday 9am - 5pm
