Main Purpose of the Job:

It is responsible for administering, coordinating and managing Transport, Operational Stock, Selling team and Administrative functions costs. This includes specific month end and weekly duties and responsibilities to ensure the month end and year end accounts are finalised in a timely manner.

This role is also responsible for Fixed assets, leases, IFRS 16 and ROU assets and liabilities and ensuring the approval process is adhered to and monitored, everything is clearly documented and all fixed assets / ROU registers and month end depreciation and interest processes are completed.

Additional responsibilities include daily Purchase Order Control and other reporting and weekly Wages processing/Overtime monitoring and reporting, intercompany management along with driving performance and implementing corrective actions, procedures, controls and measures as required.

This role also maintains all fleet information for company cars and commercial vehicles (trucks), manages the procurement and delivery of all new cars for employees to their specification and overseas any car or CV changeover or return at the end of leases. Also ensures that any hire cars or documentation required for fleet management is maintained.

Key Responsibilities/duties:

Daily Reporting:

  • Prepare and issue daily operational reports
  • Prepare and issue daily Cost order report, adding controls and corrective action/training ensuring accuracy and timeliness
  • Prepare and issue daily and weekly Pre sales agreement report, adding controls and corrective action/training ensuring accuracy and timeliness
  • Analyse Daily audit and stock count results trending hygiene results and communicating improvement plans
  • Monitor Cost orders linked to Capital Expenditure projects ensuring timely delivery and accuracy
  • Analyse production quality data highlighting Holman/Hardness trends

Weekly responsibilities:

  • Process Drivers Wages weekly, ensuring timesheets received, o/t, n/o and holiday weekly amounts have been reviewed and agreed by the local manager and the file submitted to payroll is updated for any underlying changes to contracts
  • Prepare and issue weekly overtime report, monitoring costs/hours against budget and providing challenge when required
  • Monitor holiday payments and cover, challenging when required
  • Complete weekly third-party store reconciliations, reporting, investigating and managing discrepancies
  • Run and issue weekly and monthly Transport maintenance costs, ensuring costs match accruals, POFs and expectations
  • Raise Sundry Sales invoices & allocate to correct areas
  • Manage customer Bulk Bin credit applications and invoicing
  • Process & Code Agents & Car Invoices
  • Manage the CV & Company Car Fleet Lists / Lease files
  • Ensure that the lease information required for IFRS 16 is kept updated for new leases / leases ended or extended
  • Organise and manage the procurement process for new company cars for employees
  • Arrange Car Hire
  • Arrange Car Replacements / Return at end of lease
  • Assist with CV returns at end of lease
  • Arrange CV Documents
  • Ensure all Capital spend is approved following correct procedure before cash is spent, and all Capex items are added to the register and all documentation is organised and saved down
  • Ensure Fixed Asset disposals are correctly recorded in Ax, the FA register and all documentation and support is organised and saved down

Monthly responsibilities:

Stock:

  • Attend and conduct monthly/adhoc site and third party store stock counts
  • Complete month end third-party store reconciliations reporting and investigating discrepancies
  • Input monthly stock count figures for all sites for month end
  • Download costing version and perform stock count valuations
  • Prepare month end stock reconciliations
  • Calculate stock spares movement
  • Calculate stock tote bags movement
  • Prepare monthly volumes for molasses rebate and report results

Transport:

  • Review and calculate transport costs at month end, investigate variances with transport manager and ensure information in management accounts is accurate and correct

Fixed Assets:

  • Balance & Post FA movements during the month and maintain FA registers and BS reports
  • Complete the Fixed Assets template which is submitted to group monthly

ROU reporting:

  • Update all lease reporting
  • Link lease reporting changes to IFRS16 file
  • Complete IFRS16 month end with additions, disposals and posting BS and depreciation and interest movements.
  • Maintain ROU asset register and lease liability register

Other responsibilities:

  • Any Ad Hoc reports / work required around areas of responsibility
  • Ownership of relevant areas of budget and forecast ensuring timely completion (Stock, Transport, Selling and Admin costs, Fixed Assets, ROU assets, Lease liabilities, Depreciation and interest)
  • Management of audit requests for areas of responsibility
  • Management of Tax requests for areas of responsibility
  • Support Operations on demand planning, production planning and stock counting procedures
  • Own the process and control documentation and continuous improvement plan for areas of responsibility.
