The Role

We have a fantastic opportunity for a Part Time Personal Assistant / PA to join our site and provide professional support to the Business Director, the Business Leadership team and the Newark site Leadership team.

The role will involve co-ordinating key business events including client visits, investor visits, colleague engagement and award events and business conferences.

Duties and Accountabilities;

Event Management - Organise events such as conferences, meetings, and Site Visits for the business. Plan events to brief, liaising with other parties to ensure delivered on time, within budgetary constraints to the right standard. To organise hotel & travel arrangements as necessary for the Business/Customer within budgetary constraints.

Diary Management - Efficient diary management for the Business Director, Leadership teams and Business Event diary such as customer visits ensuring meetings are well prepared for maximising managers/director's time. Organise meetings using outlook for the team. Organise accommodation, train tickets or transport as appropriate

Call Management / Professional Support - Fielding/Screening of all calls through to the Business Director/Leadership teams ensuring the manager is aware of the relevant information; urgent matters are dealt with taking appropriate action with minimal reference to the manager. To provide accurate, timely and professional support to all business functions prioritising workload from the Business Director/Leadership team operating autonomously to fulfil the business objectives. This may include secretarial support preparing letters, presentations, etc.

Visit Management -Organise & Co-ordinate key visits such as VIP visits to the site. Ensuring a professional service and excellent first impression or returning impression of the business is provided. Co-ordinate visit agenda, co-ordinate diaries for those involves in the visit, organise refreshments and goody bags upon departure. Arrange transport as necessary.

General administration . processing expenses for the leadership team using Concur expense system, raising and processing purchase orders, reconciliation of purchase orders, maintain files etc.

Good commercial / business acumen
Excellent telephone manner and communication skills
Excellent interpersonal sills
Good organisation and diary management skills
Good IT skills, including Excel, PowerPoint, Word, Microsoft Outlook and use other systems such as Concur expenses system, MyHR, various systems for reception. Quick keyboard skills for typing of correspondence, reports, emails etc
