Job purpose

To support the Business Development and Change Manager to develop and deliver projects and initiatives focused on:
Upstream regulation
Wider engagement work with doctors, medical students and the public.

This an exciting chance to work on Outreach priority projects such as the expansion of our Welcome to UK practice (WtUKP) workshop. The team is supporting a number on initiatives which involve working closely with outreach teams and key external stakeholders.

The post holder will:
1 Provide high quality support to the Business Development and Change Manager.
2 Provide support to the Welcome to UK practice project including supporting our Steering Group and keeping the project up to date in Project Online.
3 Work closely with the Outreach development and support unit, the wider remote-working outreach team, devolved office colleagues and other teams.

Main responsibilities

1 Provide diary support to the Business Development and Change manager, supporting them with their forward planning and time management. This will involve diary and meeting support, coordinating communications, making travel and accommodation bookings, processing expenses and a variety of ad-hoc tasks as required.
2 Sending promotional emails for local sessions to doctors at the relevant and trusts and neighbouring trusts making use of our data to target the emails and applying attention to detail to avoid disclosure incidents.
3 To support updates to the project in Project Online including actions, milestones, deadlines and risks.
4 Updating master slides and ensuring content is be consistent across all variations and quality assured within the team.
5 Updating and organising documentation on Livelink for both projects
6 Providing secretariat support for the Project team to run effective meetings internal and external , including arranging meetings, agendas and organising meeting rooms, video or teleconferencing as and when required and taking minutes and actions. This also includes supporting the Steering Group and coordinating updates to the highlight report.
7 Helping to organise the delivery of engagement events or pilot activities, coordinating with internal colleagues and external contacts as necessary to book venues, organise refreshments, order publications and guidance and organise the delivery of materials to external events.
8 Occasional overnight stays will be required, . at monthly team meetings or conferences.
9 Any other reasonable duties as may be assigned from time to time.
