A prestigious estate agency that has built up a highly professional reputation and is now one of the best agents in the local area, currently have a vacancy for a Property Coordinator based in Exeter Centre and with salary up to £25,000 plus benefits.

Role Objectives:

  • To effectively and efficiently provide administration support to the Manager & staff of the Exeter office and providing the highest level of customer support to clients.
  • To work pro-actively to assist the Manager to grow the company's market share, property portfolio and profile within Exeter & surrounding area.

Main Duties:

  • Answering the telephone and dealing with enquiries in a timely manner
  • Dealing with telephone and internet enquiries and booking appointments in the diary for viewings and market appraisals
  • Diary management ensuring that appointments are scheduled effectively
  • Efficient use of Reapit sales software, ensuring information entered accurately
  • 'Hot buyer' identification to encourage and promote better servicing of buyers who are in a position to proceed or who have a house to sell
  • To efficiently manage Applicant Registration, to manage the applicant database and to encourage best practice in applicant registration in line with GDPR.
  • Accurate, thorough and detailed registration of applicants - whether received by telephone or internet registration. Keep a record of "hot" buyers and sellers and be aware of potential business opportunities
  • Arrange viewings, trying to achieve additional viewings on other suitable properties.
  • Update vendors with viewing feedback, liaising with Viewings Co-ordinators and Negotiators.
  • To provide full administrative support to Negotiators (Negs) and Agency team, undertaking a pro-active role in the efficiency of the Sales office.
  • Book and register Market Appraisals (MA's) with as much information as possible
  • Creating draft Sales Particulars using wording and photographs provided by the Negs for approval and agreement with the Vendor.
  • Monitor internet activity on properties on a regular basis, knowing how to edit and update the information, to keep the property refreshed and interesting.
  • Review process: 3 day, 10 day and 21 day: Carry out preparations for the Vendor Reviews and work with the Neg to undertake the review
  • To put together memorandums of sale to send to Vendors, Purchasers and Solicitors
  • Liaising with Sales Progression Manager, to obtain updates from Solicitors, Vendors, Purchasers, Agents and Intermediaries to move sale along.
  • To remember at all times that this is a 'Customer facing office' and as such, greeting visitors to the office and when answering the telephone, in a helpful, friendly and professional manner.
  • Tracker spreadsheets - For Sale stock and SSTC Pipeline - updating figures on a weekly basis.
  • Keys - to tag keys, record the key number and to ensure keys are signed in and out in accordance with company procedure.
  • To maintain client confidentiality at all times and to record and protect client's personal information in accordance with the Data Protection Act (DPA).
  • To follow the company systems and procedures to comply fully with both the Money Laundering Regulations (MLR's) and Consumer Protection Regulations (CPR's).
  • To utilise the agency software (currently Reapit - RPS) to best effect and to the instruction of the Management team.
  • To follow Company systems and procedures to aim for "best practice and consistency" throughout your role.
  • Identify and create opportunities for inter-department referrals . financial referrals, Survey & Lettings.
  • Any other duties as directed by the Sales Office Manager and the Managing Director.
  • You may be asked from time to time to attend company and charity related events, attend company meetings and training meetings, or work from another office/location.

Monday to Friday - plus one in three Saturdays 9am to . Salary levels £22-25,000 plus excellent benefits to include clothing allowance and an extra days holiday on your birthday, plus 22 days and an extra three days per year for Saturdays worked.
