Directors Assistant - Junior PA

We're looking to hire a new Directors Assistant (Junior PA) to join us on a 12-month fixed term contract. This is an exciting opportunity for anyone who is looking to get into an innovative and creative PR Agency in central London.

Key Competencies Required

1.**Administration:**

=Prepare written material with excellent attention to detail and with no grammatical errors

=Be extremely organised and have forward-thinking to ensure the smooth running of your responsibilities

=Diary management for your Director(s), ensuring no double bookings occur and sufficient time is given to prepare and attend meetings

=Book and prepare meeting rooms where necessary

=Make travel arrangements and bookings which are as cost effective as possible and suit the travellers schedule. Ensure all stages of the travel journey has been thought through and accounted for

2.**Computer literacy:**

=Be proficient in Office programmes (Outlook, Word, Excel, PowerPoint)

=Help prepare PowerPoint presentations as instructed by your Director(s)

=Assist in letter writing and note taking where necessary

=Utilise Excel to put together reports and present ad-hoc results as requested

3.**Communication:**

=Develop a strong relationship with your direct Director(s) so you work effectively together

=Liaise with external and internal contacts in a polite and respectable manner

=Be professional, polite and helpful at all times when making telephone calls, including taking detailed notes if taking a message

=Understand the role of being a DA in the agency and the importance of how your work and reputation reflects on that of your Director(s) and team

4.**Problem solving and initiative:**

=Solve any issues as and when they arise as quickly and effectively as possible, showing urgency to the situation where necessary

=Pre-empt potential problems or issues, preparing alternative solutions in advance should problems arise

=Remain calm when problems arise and handle these professionally and as quickly as possible

=Be prepared to work over and above the hours specified to ensure a problem has been resolved

=Respond to requests in a timely manner

5.**Personality characteristics and skills:**

=Possess ability to prioritise tasks, identifying and completing urgent tasks first

=Be a calming influence under pressure and handle any issues with professionalism

=Be flexible and adaptable at all times, willing to take on any task as requested

=Possess excellent attention to detail and organisational skills

=Be a trusted support to your Director(s) handling all confidential information with discretion

6.**Ad-hoc duties :**

=Complete any ad-hoc tasks and projects where requested

=Be prepared to work above and beyond the duties outlined in this job description, showing commitment as a DA to your Director(s) and the agency as a whole

=Be prepared to work across the business to assist teams and other Director(s) with work outside your immediate team and job description (i.e. account servicing)

=Help cover DA holiday and sickness when necessary

=Help cover main reception when necessary. This may be to cover sickness, holiday or during any other times when the team need support
