Operations Support Coordinator

We are the home warranty provider of choice, we currently insure over 1.6m homes, with a market share of approximately 80%.About the RoleThe purpose of the role will be to provide efficient and effective support to the Chief Operating Officer (COO) business area (primarily Technical Services (Surveying & Engineering), Major Projects and Inspection) in line with defined procedures, liaising with customers both internally and externally and overall service delivery.Your core functions within the role will involve the following:Provide PA secretarial support to a group of Managers, coordinating diaries / inbox and travel.Coordinating incoming Commercial Initial Notices and processing in accordance with departmental Standard Operating Procedures, including reporting and invoicing.Coordinating incoming Land Quality Endorsements and processing in accordance with defined processes including reporting and invoicing.Able to review technical information (e.g. drawings, specifications, conditions, consultations etc.) and determine customer needs.Handling general and technical enquiries both by telephone and email from builders, developers, other professional advisors and staff (seeking assistance from colleagues when necessary).Maintaining regular communication with customers, managing expectations and enhancing relationship.Ensuring that accurate records are maintained in systems in accordance with defined procedures.External contacts will be with builders, consultants, Local Authority, Fire Authority, solicitors etc. and the general public. Internal contacts will mainly be within the Chief Operating Officer business area, including managers at all levels, surveyors, engineers, building inspectors and with members of staff from other departments, i.e. Claims, Finance, HR, IT, Facilities etc. About YouTo be considered for this exciting opportunity, you will offer a strong background in PA / senior secretarial support. Organisational and prioritisation skills are essential attributes, along with the ability to evaluate and improve systems and processes. Excellent communication skills and the ability to develop rapport easily will be required alongside the ability to produce work to a high level of accuracy and work efficiently and effectively under pressure. A competent user of MS Office applications (Word, Excel, etc) is a mandatory requirement.
