We are a family run business that operates 74 franchised stores across the UK in the Take Away sector of hospitality. We have recently celebrated our 25th Anniversary and continue to grow from strength to strength. Our Head Office is located in the heart of Maidenhead, Berkshire; where approximately 25 personnel work Monday to Friday to ensure the field operation is supported in all aspects. It is a relaxed but focused, friendly and lively atmosphere.

Candidate Requirements

Our company is looking for an organised and self-motivated individual to join us as an HR & Payroll Administrator. You will be responsible for providing administrative support to our office personnel; specifically the Payroll and Human Resources functions. The HR & Payroll Administrator’s role will include working closely with al the head office team, and occasionally with the field based operations team. General duties will include (not exhaustive), handling clerical duties, coordinating calendars, supporting meetings, filing, scanning and general clerical duties.

The ideal candidate will need to be pro-active in their approach and have the ability to keep information confidential which is critical in this role. They will work under the day-to-day supervision of the HR Manager.

In order to be successful in this position you should be detail-oriented, professional and have excellent written and verbal communication skills.

HR & Payroll Administrator Responsibilities:

  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations (within Payroll and Human Resources).

  • Filing and scanning documents to required locations and working with Microsoft Teams for tasks. Other systems will also be heavily utilised, but training will be given.

  • Acting as a central point of contact for employee queries and issues.

  • General day to day HR administration such as scanning and electronic filing.

  • Drafting HR letters such as:

  • Demotion letters

  • Unauthorised absence letters

  • Insurance letters

  • Posting HR letters via recorded delivery and tracking letters

  • Producing Ex-Employee References

  • Producing Employment Certificates for current employees - rent and mortgage references

  • Maternity & Paternity

  • Memo communications

  • Support HR Team with Employee Relations:

  • Taking meeting minutes for grievances and disciplinaries

  • Organising disciplinary or grievance meetings

  • Drafting invite letters

  • Support to the Payroll Team tasks such as:

  • Sickness - calculations, monitoring and letter drafting

  • Holiday

  • Making leaver forms and instructing payroll of notice payments etc.

  • Loss of earnings statements for insurance claims

  • Supporting Executive Assistant where requested.

  • Supporting Payroll Team with general pay enquiries.

  • Performing other relevant duties when needed.

HR & Payroll Administrator Requirements:

  • Proficient in a variety of computer software and IT applications including Microsoft Office Suite (Word, Excel, Outlook, and Access) would be advantageous.
  • Preferably have relevant experience working within an administrative team.
  • Previous HR related experience is desired but not essential.
  • Some experience of payroll would be advantageous.
  • Comfortable handling confidential information.
  • Able to communicate effectively using both phone and email.
  • Excellent attention to detail.
  • Multi-tasking and time-management skills to deliver work to a high standard against competing priorities and tight deadlines.
  • Good core skills understanding and related exam results at GCSE level (specifically A-C Grade, or equivalent, in Maths and English).

Hours : 40 per week

Salary : £16k - £20k DOE

Position : Permanent

Location : Maidenhead Office

Reporting to : HR Manager

Intended Start Date : 07 June 2021
