Role

We are looking for a professional candidate with experience in minute taking and research administration. This role is 20 hours per week for four weeks initially.

The main purpose of the role is to provide proactive support for several Research Degree Committees, involving: drafting agendas, distributing agendas and papers, acting as Officer to committees, taking detailed minutes of committee meetings, carrying out associated actions following committee meetings.

Duties and responsibilities

Provide support for the administration of viva-voce examinations, including; booking rooms, ensuring panel attendance, ensuring completion of necessary paperwork, logging of outcomes.

Collate and provide data on research students in support of the assurance of quality and standards.

Audit data accuracy on the student records system and on any additional spreadsheets used, including; running exception reports and overseeing or undertaking necessary corrections, identifying data management procedural improvements required, supporting the implementation of a research management software package, running monitoring reports for internal and external purposes.

The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by the manager.

Skills and experience

Educated to A-level or equivalent including A-C in GCSE Maths and English.

Excellent interpersonal and organisational skills.

Experience of working as part of a team.

Experience of taking minutes at meetings.

Experience of supporting formal committees.

Good written and verbal communication skills.

Experience of managing and negotiating workload to ensure deadlines are met.

Knowledge and experience of working with an electronic record system.

Experience of dealing with customers/ clients or similar effectively.

Experience of achieving and assuring high levels of accuracy.

Ability to work independently, ensuring key tasks are completed to specified deadlines.
