To assist in the day-to-day smooth running of the Credit Control function and assist the Accounts department with general administrative support.

3. MAIN RESPONSIBILITIES

Send customer statements and invoices

Produce and send customer invoices. Emailed invoices to be sent weekly/printed invoices to be sent with statements at the end of each month

Ensure all statements are sent promptly at the end of each month

Collection of monies owed and overdue debts

Correspond directly with customers in order to collect any monies due/overdue following up with phone calls/letters/emails when necessary

Maintain and produce monthly aged debt excel database

Report any potential bad debts/high risk customers to the Accounts Manager/ Managing Director. Log all activity on the relevant customer’s account in Sage

Ensure timely collection of monies from customers with overdue debts who have agreed a payment plan

Take credit card payments from customers over the telephone ensuring that we are keeping within the strict GDPR guidelines

Take court action against any customers that have old debts

Open and maintain customer credit accounts

Credit check customers using our credit reference agency. Approve accounts inline with company policy and those of our insurers

Open customer accounts in Sage and email relevant paperwork to the customer and/or sales Rep

Carry out regular credit reviews of all our customers

Accounts Administration

Together with the Accounts administrator, accurately input all purchase invoices

Match and input all credit card purchases

Other general office duties to include the following

Together with the Office Administrator, ensure telephone calls are answered and dealt with promptly

Assist in the preparation and distribution of sample packs

Provide administrative cover for all areas of the business as and when required

Provide cover for other staff members during busy periods or any periods of absence

Undertake other ad hoc projects as requested
