Elucidate is a Berlin-based startup RegTech/RiskTech firm building an innovative SaaS-based solution for Financial Crime (FinCrime) risk management. In short, we are providing a quantified risk management platform designed to help clients minimise the risks of money laundering, corruption and terrorist financing, whilst also ensuring strong international connectivity.

The role of the Office Manager is to ensure the smooth operation of all non-technical aspects of organisational operations, covering a range of subjects within agreed timelines. The role requires an independent-minded and driven person who can embrace an ask forgiveness, not permission approach and will focus ruthlessly on delivery.

MAIN DUTIES/RESPONSIBILITIES:

  • Independently manage all office administration
    • Prepare and submit governmental, legal and regulatory filings
    • Liaise with outside providers (legal, accountancy, etc) to provide necessary information and reporting
  • Accounting
    • Provide detailed in-house accounting and financial reporting, in cooperation with external accountant
    • Manage client billing system and ensure timely tracking of accounts receivables
    • Manage expense reporting and reimbursement to ensure timely processing
  • Human Resources
    • Provide customer service to employees
    • Serve as a point of contact with benefit vendors/administrators
    • Vet prospective hires, schedule interviews and assist in interview process
    • Collect employment and tax information
    • Ensure background and reference checks are completed
    • Prepare new employee materials
    • Oversee the completion of compensation and benefit documentation
    • Orient new employees to the organization
    • Process payroll, including ensuring holiday and sick time are tracked in a system for that purpose
    • Facilitate resolutions to any payroll errors
    • Prepare all organisational policies and ensure that they are understood by employees
    • Manage employee training requirements
  • Client Management
    • Ensure that clients are accurately billed and that invoices are paid within allotted timeframes
    • Monitor pipeline of prospective clients and provide regular and ongoing reporting on pipeline status
  • Project and KPI Management
    • Provide project management structure and discipline to ensure delivery of internal and external requirements within agreed schedules and that all milestone artefacts are stored and accessible
    • Track all KPIs to ensure around performance and delivery for Sales, Operations and Engineering
  • Other tasks as directed

ADDITIONAL SKILLS AND EXPERIENCE

  • University degree or work experience in lieu of
  • Ability to work in English
  • Native fluent German speaker
  • Computer literacy and aptitude
  • Open, enthusiastic and dynamic attitude
  • Excellent verbal and written communication
  • Organised and able to meet deadlines
  • Previous experience in a similar role
