Can you provide full administrative support to a director? Do you have any office manager experience? Here at Seddon we have a temporary position to cover maternity leave for a period of 9 12 months. This position will work closely with and provide full administrative support to the Operations Director. Duties include: Ensuring confidentiality and discretion in all aspects of the role Organising and arrange personal issues etc. Providing general administrative support including: typing letters, minutes, reports, memos, speeches, updating spreadsheets/data bases, copying, binding, shredding, filing etc. Managing and maintain the diary including arranging meetings/seminars/training events both internal and external, as and when required. Maintaining company/department systems where appropriate Liaising with professional contacts at all levels on behalf of the Director Book/organise meeting rooms, accommodation and travel when requested Managing administrative team Filter and file emails, highlight urgent correspondence and print emails/attachments as required Managing the opening, stamping, marking up and distributing of the incoming post and P&C/designated mail Provide dedicated support for allocated departments maintaining Hub page Facilities management of the office, fire alarms, emergency lighting, invoices etc. Assist with location/desk allocation of staff around the office as and when changes are needed Provide office inductions for all staff Personal Assistant Administrator PA Office Manager Secretarial Essential Skills Interpersonal skills, professional, positive, customer focussed Accurate, attention to detail, pride in work Be proficient in a number of Microsoft software packages such as (but not limited to) Word, Excel, Outlook and Power Point Organised ability to prioritise and manage own workload amid conflicting demands and busy work periods Reliable and trustworthy Maintains confidentiality/discretion at all times Flexible and positive approach to work and colleagues.
