Robust business systems and IT infrastructure are at the core of our ability to achieve our ambitions.The IT function is led by the Head of IT, who will manage one IT assistant and outsourced contractors and consultants in the UK and overseas. Broadly, the goals of Alert’s IT team are to ensure that effective and innovative IT provision is in place globally to support the strategic and day to day needs of the entire organisation (UK and overseas). Working closely with senior colleagues, the Head of IT designs and delivers IT strategy which offers maximum impact for a limited budget and ensures International Alert is equipped with business systems which support organisational strategy. The position falls within the Finance and Operations Team and oversees IT in the London office as well as providing strategic and day to day technical support to overseas offices, the latter in close cooperation with local consultants and staff.Job PurposeReporting to the Chief Operating Officer (COO), the Head of IT is accountable for:• Designing and delivering IT strategy which offers maximum impact for a limited budget and ensures International Alert is equipped with IT infrastructure and business systems which support organisational strategy. • Participating actively in meetings of the Strategic Leadership Forum (SLF) and other relevant working groups and providing support and guidance to managers and staff in the UK and overseas on a full range of operational and strategic IT issues.• Providing senior level IT advice and information to meet needs and guide strategic and operational decision-making of Alert’s Board, Senior Management and managers;• Leading on subcontracting of specific technical needs within Alert / Alert projects to suitably qualified companies / consultants• Providing a secure and efficient global network infrastructure to support Alert’s software and systemsDuties and ResponsibilitiesReporting to the Chief Operating Officer:Strategy, Policies and Procedures• (Working with the COO, and senior colleagues) lead on design and delivery of an IT strategy which offers maximum impact for a limited budget and ensures International Alert is equipped with IT infrastructure and business systems which support organisational strategy. Lead on communicating and implementing both.• Lead on planning annual IT priorities• Lead on developing, communicating and implementing organisational IT policies and procedures in accordance with the IT strategy, organisational direction, IT legislation and best practice.Business systems transformation• Lead on identifying and implementing technologies that transform existing business processes in support of Alert’s organisational strategy• Support Finance in their migration from on-premises SunSystems financial management software (to SunSystems in the cloud or an alternative)• Lead on adoption of SalesForce into our fundraising and consultant discovery needs• Lead on migration from on-premises Sharepoint to Office 365• Lead on the migration of Alert’s SharePoint-based Intranet platform to the cloud• Introduce robust and reliable technology-based global communications systemsSenior management representation• Participate actively in meetings of the SLF and other relevant working groups and provide support and guidance to managers and staff in the UK and overseas on a full range of operational and strategic IT issues• Provide senior level IT advice and information to meet needs and guide strategic and operational decision-making of Alert’s Board, Senior Management and managersNetwork Maintenance and Operation• Provide a secure and efficient global network infrastructure to support Alert’s software and systemsGeneral Administration and IT Support• Remain abreast of developments in computer hardware and software, and information technology • Ensure inductions are provided to all new London based and international staff on the computer system at Alert, including the use of all relevant software packages and any new software/hardware introduced • Ensure provision of quality, effective organisation-wide IT systems, tools, training and support, including support and guidance to managers and staff in the UK and overseas on a full range of operational IT issues• Ensure all Alert locations have adequate connectivity and IT back-up on the ground• Ensure guidance notes are written for users, both in response to requests and in anticipation of future needs.• Ensure site documentation for each office is maintained and updated;• Ensure a centralised HelpDesk service is provided to all staff members and consultants, across time-zonesProject work• Assist Programmes/Departments with / outsource to suitably qualified companies or consultants specific technical needs within Alert / Alert projects, as and when neededCompliance• Monitor compliance with IT best practice, policies and procedures in the London office and overseas offices where possible.• Ensure compliance throughout Alert with GDPR legislationSub-contracting• Manage sub-contracting of specific technical needs within Alert / Alert projects to suitably qualified companies / consultants as and when needed• Identify and establish strategic service provider relationships for increased efficiency and to select, manage and direct providers of IT services• Lead the negotiation and delivery of Service Level Agreements with external service providers and ensuring that SLAs are achieved to a high standard, taking corrective action in line with agreed strategies and plansLine management / Technical Guidance• Ensure the right staff / consultants / sub-contractors are in the right positions in the IT Team• Be accountable for all aspects of performance management for staff line managed• Provide learning and development opportunities for staff line managed• Provide technical guidance and updates to other staff as requiredBudget management• Develop and manage the multi-year IT budget, ensuring best value for money and that expenditure does not exceed agreed levels.• Provide / source expertise and detail on costs in the planning and budgeting for activities that have IT components.Organisation• Network with IT representatives of similar organisations to share information and lessons learnt;• Liaise on behalf of Alert as required with external agencies such as professional IT bodies and agencies.• Play an active role in promoting excellent relationships across Alert.Travel requirementsThe post-holder will be required to make technical assistance visits to overseas programmes and offices PERSON SPECIFICATION ESSENTIAL REQUIREMENTSTalentsAt Alert, we have introduced Talent Management to our business model as we believe talented people are crucial to the success of our work. This is what we will be looking for above all else. • BS or BA Degree; Master’s Degree preferred• Membership of a professional body and / or industry qualification and / or appropriate project management qualification, e.g. Prince II Practitioner, ITIL Foundation certification • Minimum seven years in a relevant leadership role• Experience of working alongside SMT and senior managers from other departments to plan and implement the global IT strategy alongside organisational strategy (IT infrastructure and business systems improvement)• Experience of contributing to strategic level senior decision-making• Demonstrable experience of successful project management at an organisational level in an international organisation• Proven experience of building / designing and implementing business systems for a global organization• Proven experience of leading and managing staff, consultants and outsourced providers• Track record of robust quality and budget management• Proven track record of delivering measurable improvements in IT service delivery to meet organisational objectives• Experience in migration-to-cloud projects• Familiarity with global financial management softwares including experience of implementing and providing reasoned advice on migration options • Experience of IT policy development and implementation• Knowledge of Data Protection, FOI, WEEE, GDPR• Sound knowledge and understanding of all relevant IT technologies and how these can be deployed to achieve IT excellence at International Alert• Able to manage workloads to meet searching and complex targets set by the SMT, bringing set objectives to successful completion within agreed deadlines• Well-developed networking, promotional and negotiating skills and ability to communicate effectively with a wide range of organisations and people• Demonstrable commitment to customer and end user experience• Fluent French (highly desirable) SUMMARY TERMS AND CONDITIONSAnnual Salary The annual salary for the post is £xxxx per annum (with more for an exceptional candidate) + benefitsPension Pension contributions are paid into a personal pension of the employee’s choice and are currently equivalent to 10% of gross salary.Leave entitlement 25 days per year plus English statutory holidays.Notice period Notice will be 3 months on both sides.Working hours Full time staff is expected to work a standard 35 hour week, with some flexibility around start and finish times to be agreed with the line manager. All staff are required to work core hours 10am – 4pm.Sport’s club membership Staff can take advantage of subsidised membership of a local sports club.
